Primary Billing Software

Last updated 6 November 2026 · By Manish Purohit, Founder

Primary billing software tracks and reconciles what a company bills its distributors -- invoices raised in SAP or another ERP, imported and followed through to payment. It's for finance and sales teams who currently track distributor outstanding in a spreadsheet alongside, or instead of, their ERP.

Primary billing is the company billing its distributors -- the first of three tiers, ahead of secondary billing (distributor to retailer) and tertiary billing (retailer to consumer).

The problem

SAP (or another ERP) is the right place to raise an invoice, but it's rarely the place a channel team actually works day to day -- ageing, credit notes and distributor-level outstanding often end up re-tracked in a separate spreadsheet that drifts out of sync with what SAP actually shows.

How WorklikeGenie does it, step by step

  1. Import. SAP invoices come in by Excel export, a secure API key, or plain Excel/CSV.
  2. Distributor acknowledgement. A distributor can explicitly acknowledge their own invoice from their own login -- deliberately a distributor-side action, not something a company admin does for them.
  3. Track outstanding per distributor, aged into 0-30/31-60/61-90/90+ day bands.
  4. Link credit and debit notes to the invoice they relate to.
  5. Follow payment as it comes in, against the invoices it settles.

The matching logic itself -- how an imported invoice is checked against distributor-side records for mismatches -- is the same mechanism covered in full on the SAP billing reconciliation page, not repeated here.

What you see in the portal

Example
A company-wide view lists every distributor's current outstanding and ageing side by side, with the three distributors furthest into the 90+ day band surfaced at the top rather than buried in a sorted list.

Who it suits

Companies whose distributor billing is raised in SAP or another ERP and currently tracked downstream in a separate spreadsheet for ageing and follow-up.

How this compares with tracking outstanding in Excel

A spreadsheet tracker has to be manually updated every time SAP data changes, and ageing is often calculated once and left stale. WorklikeGenie recalculates ageing from the imported data directly, so it reflects what was actually imported last, not a snapshot from whenever someone last updated a formula.

For the distributor's own view of this same relationship, see distributor billing software.

Frequently asked questions

Does WorklikeGenie raise the actual invoices?
No. Invoices are raised in SAP or whatever ERP the company already uses, then imported by export, API or Excel/CSV. WorklikeGenie tracks and reconciles them -- it does not replace the ERP's invoicing.
What does 'distributor acknowledgement' mean here?
A distributor can explicitly acknowledge their own invoice from their own login -- a deliberately distributor-only action, not something a company admin does on their behalf.
How is outstanding tracked?
Per distributor, aged into 0-30, 31-60, 61-90 and 90+ day bands, not shown as one blended total.
Where's the matching/mismatch detail covered?
On the SAP billing reconciliation page -- this page is about primary billing (the company-to-distributor side) generally; the matching logic itself is covered there in full so the two pages don't repeat each other.
Can a company follow up on overdue payment from here?
Ageing by distributor makes overdue amounts visible; see the billing feature page for the full detail on what follow-up actions are available.
