SAP billing reconciliation for distributors means matching what a company's SAP system billed against what each distributor's own records show, so a mismatch doesn't sit unnoticed for months. WorklikeGenie does this from an SAP export, a live API connection, or plain Excel/CSV with your own column mapping -- so a company without direct SAP access can still start today.
Three billing terms come up throughout: primary billing is the company billing its distributors; secondary billing is a distributor billing its retailers; tertiary billing is a retailer billing the end consumer. This page is mainly about primary billing -- reconciling what SAP says the company billed against what the channel side records.
The problem
SAP has its own version of what was billed. A distributor's own records -- sometimes SAP, sometimes Tally, sometimes a spreadsheet -- rarely match it exactly, not through dishonesty but through timing differences, a scheme discount applied on one side and missed on the other, or a credit note issued but not reflected everywhere. Reconciled by hand, this is manageable for one distributor and unmanageable for fifty, each sending data in a slightly different format on a different schedule.
How WorklikeGenie does it, step by step
- Import. Bring in SAP invoices by Excel export, a secure API key, or plain Excel/CSV with you mapping the columns.
- Match. Invoices are matched against distributor and retailer billing records, primarily on invoice number, falling back to date and amount.
- Flag. Anything that doesn't match is flagged by type -- missing, duplicate, amount mismatch -- not as one vague “mismatch” count.
- Age the outstanding. Open amounts are bucketed into 0-30, 31-60, 61-90 and 90+ day bands, per distributor.
- Link credit and debit notes. Each note is tied to the invoice it relates to, so it can't be silently lost or applied twice.
What you see in the portal
Example
A distributor's billing summary shows: billed this period ₹18,40,000, outstanding ₹4,20,000 (₹3,10,000 in the 0-30 band, ₹80,000 in 31-60, ₹30,000 in 61-90), two credit notes totalling ₹22,000 linked to specific invoices, and one flagged mismatch -- an invoice dated this period with no matching distributor-side entry yet.
Who it suits
Companies that currently reconcile SAP invoices against distributor billing by hand in Excel, especially once there are more than a handful of distributors to track, or when the finance team can state the total outstanding but not confidently explain why it moved from last month.
How this compares with Excel
Reconciling in Excel
- Re-done from scratch every cycle
- No memory of what was already resolved
- Ageing calculated manually, often skipped
- Credit notes tracked as a separate, disconnected list
In WorklikeGenie
- Matching runs automatically on import
- Ageing bands calculated every time, not optionally
- Credit/debit notes linked to their invoice
- Mismatches flagged by type, not just “doesn't match”
